Cobb County Georgia, What is a county judge, a field inspector for the construction and an employee in an office of community development have in common? All they need to access information – permits, licenses, appointments, files, photos, bills, etc. In Cobb County, Georgia, more than 3,000 of these types of documents each day come across many departments, and the County needed a better way to manage it. Because the solution could be exploited by all departments of the county, the county became one of the more than 1,100 state and local governments to manage the use of Hyland Software Enterprise Content Management (ECM) solution OnBase.

“To be able to have an OnBase solution is used in many different ways in different departments has changed the way we work,” said Yolanda Rucker, manager of technology services for the implementation of OnBase Cobb County. “Before, there were at least four imaging systems without flexibility, scalability and ability to integrate a unique selection of document management company. Now, we have a way to get information securely and shared among all county departments . ”

Teaming up with the OnBase Authorized Solution Provider Technology Group crop, Cobb County deployed OnBase in 13 departments – the juvenile court, court of first instance, the sheriff’s office of the transportation department, water department, the department firefighters, a state court, probate court, district attorney, lawyer’s office, the coroner and community development. Then Cobb County plans to expand the solution to property management, human resources and finance.

However, OnBase is not only built to accommodate the processes of government office walls.

Before OnBase, inspectors from the development community and agents used to work with notebooks and physical files, often called the office results. There, an employee who transcribed the data into the permit system, as well as different spreadsheets, reports and other files. This meant that employees were tied up on the phone instead of serving constituents’ needs.

Today, the county has been replaced with electronic tablets and profitable clipboard air card. Using Accela ®, a software package for e-government used by the county, inspectors and field officers in charge of inspection reports from their mobile devices, and the information is immediately available electronically through the agency . In addition, employees and allows the back office staff can scan or upload approved licenses and supporting documents. Now, the inspection process and has allowed 66 percent fewer staff resources, freeing up employees to focus on serving constituents.
